This privacy policy explains our practices, including your choices regarding the collection, use and disclosure of certain information,including your personal information by Tennis Tykes Ltd and the franchised operations.

What do we collect?

We receive and store information about you such as:

1. Information you provide to us such as your name, email, address, telephone number, certain information about your child(ren) such as name, age, medical requirements to ensure the safety of your children and to enable us to properly administer our tennis services. We collect this information online when you enter it or you give it to us while registering for and using our child tennis services.

2. Information we collect automatically via the use of website cookies for example, information about your use of our website, the requested web page or download with the date and time you accessed the website and the internet address from which you accessed our website.

3. We collect information during the period in which we provide services such as ongoing medical information and where required, accident and incident records and photography.

4. We may also collect personal data about you from telephone conversations, e-mails and written and verbal communications, where you contact us and ask us to provide you with further information about our services.

How we use your personal data

Any personal data that we collect will be used and recorded by us in accordance with current data protection legislation including the GDPR and this privacy policy. We will use your personal data mainly for record keeping purposes and in order to provide, administer and market and improve our services and products to you, to process your enquiry, registration, bookings, payments and to communicate with you. This may involve us sending you information about us, our affiliates and associated companies and organisations including but not limited to promotional and/or marketing material about our products, services and offerings. We may also create an individual profile for you so that we can inform you of services, products, events or special offers that may be of interest to you. We may use your personal data to analyse customer/user behaviour and characteristics in order to measure interest in and use of the various areas of the site with a view to improving the site.

Consent - your choices

If you are a registered parent or have via the website or otherwise asked us to send you communications by email, then you will automatically receive our communications unless and until you tell us otherwise.

Lawful basis for processing data

Tennis Tykes Ltd is committed to protecting and safeguarding an individual’s personal data. As part of this commitment, this updated notice explains an individual’s rights under the new GDPR law and that it will become effective from May 25, 2018.

We have identified that we have a legitimate interest in holding and sending information out and processing personal data, and therefore we do not require individuals to ‘opt in’, although we have always asked parents to sign on the registration form that they would like to receive the email newsletter.

We have identified legitimate interest as the lawful basis as we are using data in ways that an individual would reasonably expect and it has a minimal privacy impact as we do not share it with any organisations or individuals other than those working within the Tennis Tykes organisation. It is necessary to process the data in this way otherwise we would not have key information on the children attending the tennis classes such as medical information and parents’ contact details to ensure that they are properly safeguarded. In some circumstances, in the past, when we have sent registration forms, they have not been returned to us correctly or adequately completed and therefore to ensure every child’s welfare we need to have the ability to hold the information without all of the form being completed or signed.

We keep our legitimate interests assessment under review.

Disclosure of personal data

Information collected by Tennis Tykes will not be passed onto any third parties, unless you have given consent but we will pass your information between the coaches who deliver the sessions and our Tennis Tykes franchisees. The exception to this is that we will pass the information on where the product or service is delivered by a third party or we are required by law to do so.

Whilst we will endeavour to ensure that personal data is only used in accordance with this privacy policy and we will always try to ensure that any third party who receives your personal data from us is reputable and reliable, we are not responsible for the actions, data policies or procedures of any such third party

When using the site you may from time to time find links to third party websites. You should know that Tennis Tykes is not responsible for the actions, data policies or procedures related to, or the content of such third party websites. We recommend that you check the privacy policy and terms of use of each site you visit.

Security

We use computer security packages to protect data on our computer and have access to a web expert to check that they are updated etc.

If there is a personal data breach we will notify the individuals directly and if the data breach is likely to result in high risk to the rights and freedoms of individuals then we will notify the breach to the ICO.

We may change our privacy and security policies at any time. Please check this page from time to time in order to read our current policy.

Right to see personal data

You may also request that we delete personal information that we hold about you. We may reject requests that are unreasonable or not required by law, including those that would be extremely impractical or could require disproportionate technical effort.
